PrivateScan OCR is a local-first desktop OCR application for Windows. This Privacy Policy explains what information PrivateScan OCR processes, what stays on your device, what may be sent if you choose to send feedback, and how we protect the local-first privacy promise of the public beta.
PrivateScan OCR is currently offered as a free public beta. It is not commercial production-ready software.
1. Summary
PrivateScan OCR is designed so that OCR processing happens locally on your device.
PrivateScan OCR does not use cloud OCR in its built-in document-processing workflow. The desktop app does not automatically upload your document images, PDFs, rendered pages, filenames, OCR text, bounding boxes, or exported files.
Optional feedback is user-initiated. If you choose to send feedback, you can review what will be sent before sending it.
2. Information that stays on your device
When you use PrivateScan OCR, the following information is intended to stay on your device unless you intentionally export, copy, email, upload, or otherwise share it yourself:
- imported documents;
- document images;
- PDFs;
- rendered PDF pages;
- detected OCR text;
- bounding boxes;
- local previews;
- exported TXT, Markdown, JSON, or other local export files;
- local model files;
- local app settings;
- local beta/license state, if applicable.
Exports are saved only to locations you choose.
If you save exports into a cloud-synced folder, email them, attach them to support messages, upload them to another service, or use third-party backup/sync tools, those copies are controlled by those services and not by PrivateScan OCR.
3. No cloud OCR
PrivateScan OCR does not send your documents to OpenAI, Google, Microsoft Azure, Amazon AWS, or any other cloud OCR provider for the built-in OCR workflow.
The app should not send document images, filenames, OCR text, bounding boxes, rendered PDF pages, or exports to any server for OCR processing.
4. Network use
PrivateScan OCR may use the network only for limited product operations, such as:
- optional feedback that you choose to send;
- support links that you choose to open;
- optional update checks, if enabled in a future build;
- optional license activation or license refresh in future paid versions.
The public beta does not require payment. If a future paid version is released, payment/license operations may have separate terms and privacy disclosures.
5. Beta feedback
PrivateScan OCR may include an optional “Send Feedback” feature.
If you choose to send feedback, the feedback form may include:
- rating;
- feedback category;
- message you write;
- optional email address;
- app version;
- Windows version;
- build channel;
- OCR mode;
- whether demo mode was active;
- non-document error code;
- timestamp.
PrivateScan OCR should not automatically include:
- document images;
- PDFs;
- rendered PDF pages;
- filenames;
- local file paths;
- OCR text;
- bounding boxes;
- exports;
- license keys;
- raw device identifiers;
- screenshots of your documents.
Please do not paste private document contents, OCR text, passwords, financial information, medical information, legal information, government ID numbers, or other sensitive information into feedback messages.
If you provide an email address, it may be used to follow up about your feedback, bug report, or beta experience. Providing an email address is optional.
6. Local diagnostics and logs
PrivateScan OCR may create local diagnostic information to help the app run, such as app version, processing status, model status, and non-document error codes.
Release builds should avoid logging:
- OCR text;
- document images;
- filenames;
- local document paths;
- exported file contents;
- license keys;
- private signing keys;
- payment secrets.
If diagnostic logs are ever requested for support, you should review them before sending.
7. Model and runtime files
PrivateScan OCR may include or use local OCR model files and local runtime files. These are used to run OCR on your device.
The app should not automatically download OCR models during document processing unless a future version clearly asks for your permission as part of a model setup flow.
8. Accuracy and sensitive use
OCR is not perfect. You should review extracted text before relying on it.
PrivateScan OCR is not certified for medical, legal, financial, tax, academic-integrity, government, or regulated compliance workflows. Do not rely on beta OCR output as a substitute for professional review.
9. Children
PrivateScan OCR is not directed to children under 13. We do not knowingly collect personal information from children.
10. Data retention
Feedback and support messages may be retained for product improvement, debugging, and support history.

Anonymous feedback may not be identifiable and therefore may not be removable from aggregated notes or internal issue summaries.
11. Third-party services
PrivateScan OCR may link to third-party websites or services, such as:
- your email client;
- a browser feedback form;
- download hosting;
- update hosting;
- support pages.
Those third-party services are governed by their own privacy policies.
12. Changes to this policy
We may update this Privacy Policy as PrivateScan OCR changes. The updated version will be posted on the website or included with the app.
